When executing recurring maintenance, some files are relevant only to a single specific run, while other documents—such as engineering blueprints, safety instructions, or wiring diagrams—must remain accessible every time the task repeats. To support this, Aetos features two distinct file attachment scopes: Occurrence and Series.
Occurrence vs Series: Attachment Scopes Explained
1. Occurrence Attachments
Scope: Local to an individual work order.
Best Used For: Field-specific evidence gathered during that specific run (e.g., photos of a damaged component, current site readings, or specific parts delivery receipts).
Visibility: These files appear only on this single, unique work order occurrence and do not propagate to past or future occurrences in the schedule.
2. Series Attachments
Scope: Attached to the parent recurring template.
Best Used For: Permanent reference documentation (e.g., manufacturer operations manuals, hazardous lockout procedures, or electrical schematics).
Visibility: These files are attached to the master schedule template. They are automatically inherited and displayed on every single occurrence (past, active, and future) in this recurring series.
Step-Step Instructions
How to Upload an Occurrence File
Open the active Work Order detail panel.
Locate the Attachments card.
Click on the Occurrence tab.
Drag-and-drop your file, or click Add Attachment (this opens your Media Library). Select files from your library or click upload.
The file is attached, and its thumbnail appears immediately under the Occurrence tab.
How to Upload a Series Reference File
Open the active Work Order detail panel.
Scroll to the Attachments card.
Click on the Series tab.
Drag-and-drop your file, or click Add Attachment to upload.
The file is attached, and its thumbnail appears immediately under the Series tab. It will now be visible on all future scheduled occurrences in this recurring PM series automatically.
