User access can be scoped to individual facilities or extended globally across the organization.
Step-by-Step Instructions
Step 1: Open the User's Assignment Form
Navigate to the Users page from the left navigation sidebar.
Select your target user from the table to open their details panel on the right.
Click the Edit button in the bottom action bar. This opens the user form.
Step 2: Configure Scoped Location Access
Scroll down to the Organization Assignments section. For each organization membership row, configure the Location boundaries based on the user's assigned role:
For Admin Roles:
Location selection is not required. Admins automatically receive global clearance across all current and future Locations within the organization.
For Location Admin Roles:
You must select at least one physical Location from the Locations multi-select dropdown.
Note: Location Admins are restricted from using the "All Locations" toggle to prevent unauthorized management of unassigned facilities.
For Employee or Employee Limited Access Roles:
Option A: Specific Locations Only: Leave the All Locations toggle OFF, click the Locations dropdown, and select the specific buildings the worker is cleared to access.
Option B: Organization-Wide Access: Toggle the All Locations switch to ON (represented by a green toggle). This automatically grants the employee access to all current and future Locations in the organization.
Step 3: Save and Verify Access
Click the SAVE button in the bottom edit bar.
A green success notification confirms the user configuration was saved, and you will be returned to the active user list.
Select the user row again to verify that their details card displays the updated Location list under their active organization row.
Troubleshooting & Common Alerts
Error: "At least one location is required"
Cause: You set the user's role to Location Admin (or assigned an Employee role with All Locations toggled OFF) but did not select any facilities in the Locations dropdown.
Resolution: Click the Locations dropdown on the form, select at least one Location, and click SAVE again.
