Administrators can control which training modules are visible, set course retake rules, and assign courses to specific employee types.
Training Permissions by Role
Admin and Location Admin: Can author training courses, manage chapters and scenes, assign courses to teams, and audit the organization progress dashboard.
Employee: Can browse all Published training courses within their assigned Locations via the All Courses page, and self-enroll in any available course.
Employee Limited Access: Highly restricted. They do not have access to the general All Courses directory page. They can only view, access, and start training courses that have been explicitly assigned to them by an administrator.
Step-by-Step Instructions
Step 1: Set Course Visibility (Draft vs. Published)
Before an employee can access a course, its active state must be configured:
Navigate to the All Courses page under the Training sidebar menu.
Select your target course and click Edit in the bottom action bar.
Locate the Published switch in the Settings card.
Toggle OFF: Saves the course as a draft. It is hidden from all standard Employees and Employee Limited Access users.
Toggle ON: Makes the course active. It immediately appears in the All Courses directory for standard Employees assigned to the linked Locations.
Click SAVE in the bottom bar. A green success banner confirms the settings were saved.
Step 2: Configure the Retake Permission
Determine if employees are permitted to refresh their training certifications:
On the course Edit form, locate the Retake Course switch under the Settings card.
Toggle ON: Employees can complete the course, take the quizzes, and immediately clear their progress to retake the module in the future.
Toggle OFF: Once the employee completes the course, their progress is permanently locked in a completed state, and they cannot retake the quiz scenes.
Click SAVE to apply the configuration.
Step 3: Assign a Course to Specific Employees or Cohorts
To mandate training and ensure it appears on an Employee Limited Access user's dashboard:
Open your target course detail card.
Expand the Assignments section and click the + button (Add). This opens the New Assignment form.
Select your target due date in the Due At calendar picker.
Select the target personnel:
By Individual: Select specific workers from the Assignees multi-select dropdown.
By Location: Select physical facilities from the Locations dropdown to assign the course to all employees belonging to those locations.
By Job Title: Select groupings from the Job Titles dropdown to assign the course to specific cohorts (e.g., all "Electricians").
Click SAVE in the bottom edit bar.
A green success banner confirms the assignments were created. The course immediately appears inside the assigned employees' personal dashboards under My Assignments.
