Creating a new user allows administrators to add employees or managers to Aetos. This setup defines their dashboard access permissions, determines their role on the platform, and assigns them to active locations.
Step-by-Step Instructions
Navigate to the Users page from the left navigation sidebar.
Click the + button in the top-right corner of the table. This opens the Create User form.
Enter the user's first name in the First Name field.
Enter the user's last name in the Last Name field.
Enter the user's email address in the Email field.
Note: If your organization has the "Email as Username" setting enabled, this email address will serve as their login username, and the separate Username field will be hidden.
Enter a unique alphanumeric username in the Username field (this field is hidden if Email as Username is active).
Enter a valid phone number in the Phone field.
Note: A phone number enables the user to receive text notifications.
Select the appropriate role from the Role dropdown:
Admin: Grants full administrative permissions across all current and future locations in the organization.
Building Admin: Grants administrative permissions limited to explicitly chosen locations.
Employee: Standard worker role. Can view assets, navigate scans, and execute assigned work orders.
Employee Limited Access: Restricted worker role. Limited to executing assigned work orders and taking assigned training.
Select the physical locations from the Locations dropdown:
If the selected role is Admin: No location selection is required.
If the selected role is Building Admin: You must select at least one location.
If the selected role is Employee or Employee Limited Access: You must either toggle All Locations to ON, or select one or more specific locations from the dropdown.
Click the SAVE button in the bottom edit bar.
A green success notification confirms the user was created, and you will be returned to the active user list.
Troubleshooting & Common Alerts
Error: "At least one location is required"
Cause: You assigned a role (such as Building Admin or an Employee without All Locations enabled) but left the Locations selection empty.
Resolution: Go to the Locations multi-select box under the organization assignment row and select at least one active location.
Error: "Username or Email already taken"
Cause: The email or username is already assigned to another active account on the platform.
Resolution: Search the user list to check for an existing account, or enter a unique email/username.
