When an employee leaves the company or no longer requires access, their profile must be deactivated to secure the workspace. In Aetos, deactivation is performed using the Delete action, which archives the user, immediately revoking their login permissions while preserving their historical compliance records.
Step-by-Step Instructions
Navigate to the Users page from the left navigation sidebar.
Select the target user from the list to open their profile details card.
Click the More actions button (⋯) in the top-right corner of the user details card.
Click Delete user from the dropdown menu.
A confirmation dialog will appear, displaying: "Are you sure you want to delete this user? This cannot be undone."
Click the Confirm button.
A green success notification confirms the user was deleted, and you will be returned to the active user list.
What Happens to the User's Data?
When a user is deleted and archived, the platform manages their data as follows:
Immediate Lockout: The user's active session is terminated, and they can no longer log into the dashboard.
Directory Removal: The user immediately drops out of all active user lists, drop-downs, and assignee selection fields.
Archived Access: Their organization memberships, role assignments, location mappings, and notification settings are archived automatically.
Historical Compliance Retention: Completed work order signatures, checklist tasks, assessment table responses, and training progress submissions remain intact and associated with the user's name for historical auditing.
