There's more than one way to go about the creation of a work order. Let's talk about how to do so!
Note: Need some clarification about what a Work Order is? Click here.
1. Via the Work Orders Tab
- Click on Work Orders
on the navigation bar on the left side of the page.
- Click the
in the upper right hand corner.
2. Via the Assets Tab
- Click on the specific Asset for which you want to create a Work Order.
- Click the + button in the upper right hand corner of the Work Order section.
- By creating a Work Order this way, the Work Order will automatically be associated with this Asset, rather than needing to associate the Work Order with an Asset during the creation of the Work Order.
Creating the Work Order
- After you create the Work Order (whether it be from the Work Order tab, or Assets tab,) you'll be prompted to fill out several fields.
-
- Title: This is a required field. Give your Work Order a title, such as "Pump 123 Maintenance Inspection"
- Type: Select the specific type of Work Order you're creating. The type options will depend based on your specific company needs. An example would be "Preventative"
-
Task List: Here, you will input the specific step(s) required to carried out this Work Order. Within each Task in the Task List, you will fill out a...
- Task Name: What do you want to call this task? For example, "Check for abnormal noise while running"
- Asset: You have the option of attaching this specific step to a specific asset. This is helpful if your Work Order requires you to go between multiple assets in order to complete the task. However, adding a specific asset here in unnecessary if every task in the Work Order is connected to the same one Asset.
-
Question: If you turn on the Question feature by sliding the
, you will be able to add a question. This question will need to be answered by the technician carrying out the Work Order when they arrive at this step. For example, "Is there excessive vibration? Yes or No"
- Attachment: If you'd like the attach a file (such as a PDF of the care manual for the asset or a photo of how the asset looked when it was originally installed), it can be attached here.
- Repeat the process of adding Tasks to the Task List until you have fully mapped out the steps needed to complete the Work Order
-
Details:
- Assets: Here you can add a specific asset that the Work Order would be associated with. This is especially relevant if all steps in your Task List are associated with one Asset, and you didn't add specific Assets related to each Task.
- Position: If your Work Order does not pertain to a specific asset or is located in a different spot from where the asset is situated in a scan, use this tool to place the Work Order directly at the position of your choosing.
- Priority: How critical is the Work Order? Select High, Medium, or Low. The default is set at Medium, unless changed.
-
Assignments: Who is this Work Order relevant to?
- Supervisor: Who on your team should supervise the completion of this Work Order?
- Assigned to: Who will be in charge of carrying out the Work Order? You can assign someone as you create the Work Order initially, or you can simply create the Work Order now as you notice an issue that needs to be addressed, and a supervisor can go back and assign it to the appropriate person later.
- Created by: This will automatically default to your name when created. However, you can change it to someone else's name if you're making the Work Order on someone else's behalf.
-
Schedule:
- Time Estimate: How long do you anticipate the completion of this Work Order to take?
- Choose Date: When does this Work Order need to be completed? Note: If you're not sure when this Work Order will be carried out, feel free to leave this blank and a supervisor can assign a technician later.
- Recurring: If this is a Work Order that will need to be carried out on a regular basis, set it as recurring.
- Attachments: If there are any relevant files that would help a technician complete the Work Order, upload them here.
- Be sure to hit Save
when you're done!
